Employment Hero timesheet import file
Start from Employment Hero's timesheet import sample: Employee External ID, Location External ID, Work Type. Vaultime fills it with approved hours and your codes, ready to import.
How it works
Get Employment Hero's sample file
Download the timesheet import template or sample from Employment Hero. Its columns, such as Employee External ID and Work Type, are matched to your fields and kinds.
Start from it in Vaultime
Payroll → Exports → New export → Start from your payroll's file. Vaultime reads the columns, separator, date style and encoding, and suggests what goes in each. You check every suggestion.
Add your codes
Type the code each kind of hours has in your payroll (ordinary, overtime, Saturday…) beside your kinds.
Check and download on pay day
Pick the pay period. The check lists anything to fix (a missing ID, a kind with no code) with the fix right there; then download the file.
Import it into Employment Hero
Import the file in Employment Hero as you would any timesheet import, and check it there before you pay.
What it does
- Fills employee and location IDs from your own fields (Employee ID, a site's Location ID).
- Puts each kind of hours on the work type code you type.
- Checks for missing IDs and codes before you download, and keeps every file in History.
What it doesn't do
- It isn't a live connection: Vaultime makes the file, you import it into Employment Hero.
- It calculates no pay: no rates, wages, tax, super or payslips.
- It suggests no rules: the kinds and rules are yours.
Questions
Where do the IDs come from?
From custom fields you keep in Vaultime, such as Employee ID on people or Location ID on sites. You can fill them in from a spreadsheet.
Do I need to set it up every pay day?
No. Save the export once; each pay day is pick the period, check, download.
