Clock in app with GPS, kiosk and QR codes

People clock in on their phone at the site, at a shared tablet by the door, or by scanning a code on the wall. Every punch is kept exactly as it happened.

Phone with GPS

Location is checked once, at clock-in and clock-out, against the site's boundary, and punches outside it are flagged or refused, site by site. Never tracked in between.

Shared tablet (kiosk)

Staff tap their name and enter a PIN, or show the badge on their phone. Optionally, the tablet takes a photo at each punch.

Scan a code

A rotating code on the kiosk, or a printed code on the wall for sites without a tablet.

Breaks and the lock screen

Start and end breaks, and see the shift timer on the phone's lock screen.

Photos of the work

Staff add photos to their own shift while on it, with a note: the finished job, a hazard, a delivery. Only they and managers see them.

No signal? No problem

In the phone and desktop apps, punches made offline are saved and sent with the real time once back online.

Questions

Does Vaultime track staff location all day?

No. Location is read once when someone clocks in or out, never in between and never during breaks.

What stops buddy punching?

PINs or personal badges at the kiosk, an optional photo at each kiosk punch, GPS boundaries on phones, and rotating or printed codes, all reviewable by managers.

What if someone forgets to clock out?

They're reminded, and managers see forgotten clock-outs to fix. Staff can ask for a correction with a reason; the original punch is never changed.
