Export a report
Go to: Reports → Export (at the end of the filter line). Exports contain exactly what your filters show.
- Tap Export.
- Choose:
- Excel pay workbook: a Summary per person (approved, awaiting, total, unpaid breaks, rejected, entries, flagged, and breaks to check), every entry, and hours per person by site, by work type and by project, plus by client once your jobs have clients (managers only), and by tag once people have tags (an entry counts under each tag its person had when it was made). Every entry has a Tags column. Built for working out pay. If your workplace rounds for pay (Settings → Time entry → Rounding in pay exports: 5, 6, 10 or 15 min), it adds a rounded total and a rounded column per entry: clock in and out each go to the nearest step, breaks stay as recorded. Hours paid as rostered or set by a manager aren't rounded. The raw hours are always there too.
- CSV: one row per entry with date, person, site, project, work types, start, finish, break, clocked hours, hours that count, counted as, status, flags, description, reviewer comment and who reviewed it, for payroll import. At job sites it adds Part (Work, Travel, Supplies or errand) and Travel km.
- PDF: to share or print.
Want different columns, people or a file your payroll or bookkeeper asks for? Managers can ask Ask Vaultime for it: see Make an export by asking.
Example: Priya's bookkeeper uses Xero. Priya filters Last pay period + Approved, taps Export → CSV, and emails the file. With 15-minute rounding on, the Excel workbook shows Maya's 7:53 start as 8:00, next to the raw time.
