Invoice anything: items, lines and templates
Not everything is hours. New invoice offers From hours, Blank (just lines; hours can still be added), Copy an invoice and From a template.
Type what you did or sold… under the lines: your items appear as you type (most used first), with lines you've billed this client before. Pick one and its unit, price and taxes fill in; type the quantity and press Enter. Something new is added as you typed it and saved to your Items for next time, unless you turn on Just this invoice. When you've charged this client before, you'll see Last charged … · Use: it's a suggestion; your usual price stays unless you tap Use.
Four kinds of line:
| Kind | For | Amount |
|---|---|---|
| Qty × price | 42.5 m², 3 loads, 2 nights, 1,200 words; any unit you name | quantity × price |
| Fixed amount | a package, a call-out, a retainer | the amount (leave Qty empty) |
| Percentage | a discount, surcharge or card fee; of the lines above, the whole invoice, or an amount you enter | the percentage, added on or taken off |
| Hours | hours from Vaultime | from your prices |
- Add a section (Stage 1, Room A) to group lines with a subtotal; Add a note for a line of text with no amount.
- Show the quantity and rate off prints only the amount for that line. The Qty and Rate columns disappear when no line uses them.
- Sums work in the quantity:
4.2*3.5,3+2.5. - Drag lines into any order.
- Changing a line's price changes only this invoice; Update my item too changes the item.
Items (Invoicing → Items): search, add, edit, merge two into one, archive; import from a spreadsheet (CSV or Excel): match your columns, see which rows match existing items (skip or update each), and nothing is saved until you confirm. Taxes are matched to yours by name.
Templates: on any invoice, Save as a template (Monthly retainer, Standard bathroom); start a new invoice From a template. Copy an invoice copies its lines, sections and fields (never its hours) to the same or another client, with the old prices or your current ones.
Invoice fields (Invoicing → Invoice fields): fields you name, like PO number or Job address, filled on each invoice and printed in the header; empty ones are left off. A client can have its own defaults.
Example: Sam starts a Blank invoice, types Wat and picks Waterproofing (per m², $38), enters 12.5, then types Tile removal (new: saved to his items) as a fixed $450, and adds a 5% discount on the whole invoice.
