Clients, prices and taxes

Clients: the clients from Projects & sites, with their billing details for Bill to: billing name, address, contact, emails, their own ID fields, currency, payment terms, notes and the taxes that apply to them. + New client is also inside a new invoice's client box, for one-off customers.

Prices (your own; Vaultime never stores pay rates):

  • Your standard price is used when nothing more specific matches.
  • Special prices apply only to hours that match all of what you pick: a client, a project, a work site or job site, or a kind of work. The most specific one wins.
  • Each price is per hour, per day (with Hours in a day to turn hours into days), fixed or per item.
  • Extras (optional): a minimum (e.g. 2 hours call-out, or a minimum charge), round each entry up to (e.g. 15 minutes), and different prices at weekends or after hours (the times you choose).
  • Turn a price off to pause it without deleting it. Invoices already made keep their prices.

Taxes: Add a tax: a name as it appears on invoices (GST, VAT, Sales tax…), a rate, and whether it's added to new lines. Charge it on other taxes too is for a tax worked out on the price plus the taxes before it (compound). In Money and numbers, choose whether your prices include tax. Up to 3 taxes a line; a line with none is tax-free. The invoice shows a tax column only when it's needed.

Which taxes a line gets: the client's own taxes if they have some, otherwise the price's taxes, otherwise the ones added to new lines. You can change them on any line.

Example: Sam's standard price is $65 an hour. Coastal Homes pays $70 at its Ocean Rd job site, so he adds a special price for that client and job site. Saturday work is $90, set under Extras.
