Issue, download and share
Go to: the invoice → Issue.
- Number: the next free number is filled in. Type your own if you like: if it's already on another invoice, the popup says which one and offers Use the next free number. To keep a repeated number on purpose, tick Use it anyway. A number past your next one (say
ST-1050) moves the next one on (1051). - Issue this invoice? Confirm you've checked its details, taxes and amounts and that you're responsible for it, then tap Issue. This is recorded with your name, the time and the version. The popup stays open until it's issued; if something goes wrong, it says so there and keeps what you typed.
- It's frozen: later changes to your business, the client or prices don't change it.
- Download PDF, or Share link:
- Link works for a number of days, or Until turned off.
- Include photos in the PDF only if you want them seen: anyone with the link can see them. Only the invoice leaves them out.
- Ask for a code (off unless you turn it on): a 6-digit code, shown once, that your client must enter before seeing anything. Send it separately from the link (a text or a call). Five wrong tries pause the link for 15 minutes. On the link's ⋯, New code replaces a lost one and Remove code takes it off.
- Copy the link and send it yourself (email, text, chat). Vaultime doesn't send invoices.
- The page shows your invoice, a Download PDF button and any documents you included, and says Vaultime provides the software only. Every view is counted (when, not who), and the first time your client opens it you get a notification (Coastal Homes opened ST-1042).
- Turn off a link any time (on its ⋯). Voiding the invoice turns its links off too. A link that has stopped working, for any reason, just says This invoice link has expired. Contact [your business] for a new one.
Example: Sam issues ST-1042, taps Share link → 30 days → Only the invoice → Ask for a code, texts the link to Coastal Homes and reads the code to them on the phone. The next morning he gets Coastal Homes opened ST-1042.
