Give someone a dedicated approver
Who: Super Admins, for Employees and Admins. Go to: People → the person → Approver (it reads Unassigned until set).
- Open the person and tap Approver.
- Choose an Admin or a Super Admin (never the person themselves).
From then on, that person reviews their time, leave and swaps and is the one notified; Super Admins can still approve anyone. Unassigned means any Admin or Super Admin can approve an Employee, and any Super Admin can approve an Admin. Super Admins don't get a dedicated approver: the Owner or another Super Admin reviews them.
If the approver is made an Employee, is removed or leaves, the people they approved go back to Unassigned.
Example: Priya opens a second shift manager, Kim. She sets Kim as the approver for the weekend staff and Tom for the weekday staff, so each reviews only their own team. Tom and Kim are Admins who report to Jess, the ops manager (also an Admin), so Priya sets Jess as their approver.
Several people at once: on People, tick the people (on a phone, press and hold one to start), then tap Set approver in the bar at the bottom. To find them, filter by Role, Tags or Site, or use Group by → Approver: it lists who each approver reviews, with Unassigned (no approver yet) first, and Select all on a group ticks everyone in it (e.g. everyone routed to someone who's leaving). Super Admins and the approver themself are skipped and listed. The approver is told once how many people they now approve.
Who reviews whom: Group by → Approver is the overview: one group per approver with how many people they review. Employees left Unassigned show No approver under Needs attention once you've started using approvers.
By team: give the tag a team approver (People → Tags → the approver icon on the tag). You choose whether to apply it now to the tag's people without an approver, to all of them, or only to people tagged from now on. Someone newly given the tag, with no approver yet, gets the team approver; an approver someone already has is never replaced.
