Teams: each manager runs their own people
Who: the Owner and Super Admins set teams up; the Owner turns them on. Go to: Settings → Teams.
For a business with several stores, sites or crews, each with its own manager. Each store is a team: its leaders (the store manager, and a deputy if you like), its people, and its site (the store's workplace).
With teams on:
| Who | Sees and manages |
|---|---|
| Owner | Everything, always |
| Super Admin (head office) | Everyone in the workspace, and its settings |
| Admin (store or area manager) | Their people: the teams they lead, the people they approve, and shifts and hours worked at their teams' sites |
| Employee | Themselves (unchanged) |
Set it up:
- Set up teams from my sites makes a team per workplace, with the people who clock in or log hours there. Or tap New team: a name (Karrinyup store), its leaders (Admins or Super Admins), its sites and its people.
- Pick each team's leader (⋮ → Edit). A person can be in more than one team (a casual who works at two stores): both leaders can roster them, and their own store's leader approves them.
- Under Not in a team yet, tap each person to place them.
- Turn on teams (the Owner). First you see what each Admin will see, who isn't in a team yet, and whose payroll or invoicing access ends.
What changes for an Admin: Roster, Approvals, Timesheets, leave, corrections, Reports, People, photos, the Dashboard, notifications and Ask Vaultime all cover only their people. Rostering someone else, or approving their time, isn't allowed. A shift worked at their store by someone from another store (a cover shift) shows to them too, for that shift only. Their invitations go into their team. Staff's "see the whole team's roster" means their own teams.
Head office and payroll: someone who looks after several stores can be an Admin leading each store's team. Make someone a Super Admin for the whole workspace. Payroll and Invoicing access cover everyone, so with teams on they're for Super Admins only (the Owner always has them).
Changes: moving someone to another team moves who sees them, past hours included. A manager leaving: make someone else the team's leader. Every team, leader and member change is in the Audit log. Turn off (the Owner) and every Admin sees everyone again; teams are kept.
Small businesses: with no teams (or teams off), Admins see everyone, as before. There's nothing to do.
Example: Sam owns five Vodafone stores in Perth. He taps Set up teams from my sites, makes each store manager their team's leader, and taps Turn on teams. Priya, the Karrinyup manager, now sees only Karrinyup's people on the roster, in Approvals and in Reports. When Leo from Morley covers a Saturday at Karrinyup, Priya sees that shift; Leo's Morley manager still approves his week. Sam makes his operations manager a Super Admin with Payroll access to run pay for all five stores.
