Ask Vaultime: who can ask, and limits
Who: the Super Admin. Go to: Settings → Data and privacy → Ask Vaultime.
- Answer questions about your data: on by default. Off means Ask Vaultime only answers how-to questions from this manual.
- Who can ask about data: Everyone (staff about their own hours and shifts only), Managers only (Admins and the Super Admin), or Selected people.
- Monthly and daily limits for Admins and for Employees (for example, 100 a month for Admins and 20 for Employees), or No limit. The Super Admin has no limit.
- People: give one person a different monthly limit, turn it off for them, or tick who's included when Selected people is chosen. Each row shows what they've used this month.
- Admins can see team usage: off by default. On, Admins see each Employee's question count and limit in My usage → Team, so they can spot who has run out and ask you to raise it. They never see the questions, other Admins, or billing.
- What's sent to Google's Gemini to answer: names, hours, dates and counts that the asker can already see. Never email addresses, phone numbers, locations, photos or entry descriptions, and questions aren't kept, except the one that starts an export someone makes (30 days, so they can make it again). For an export, Gemini sees what's asked for (columns, filters) and counts, never the file.
Example: Priya wants her baristas to check their own hours but not use up the allowance. She leaves Everyone on, sets Employees to 10 a month, and gives Tom, her manager, 200 from People.
