Switch Clock in on
Who: the Super Admin. Go to: Settings → Clock in.
- Clock in: the main switch. It needs at least one site, or remote clock-in allowed. Switching it on first shows the clock-in notice your staff will see: read it, edit the wording if needed, and tap Turn on Clock in (your review is recorded). If a later change alters the notice, a banner (Your clock-in notice changed) asks you to look at it again; Clock in stays on meanwhile.
- Who clocks in: Employees clock in unless you change it; Managers clock in too decides it for Admins and Super Admins. Change it for one person on People.
- Ways staff can clock in: the master list (Phone, Scan kiosk code, Printed site code, Kiosk: name + PIN, Kiosk: phone badge). Switching one on adds it to every site; each site can use fewer.
- Ask for a project when clocking in: Off (best when you don't track time by project), Optional (with a No project choice) or Required. Someone with one project is never asked.
- Photo at punch: off by default. Taken at the kiosk only, never on phones. Switching it on shows staff the updated notice at their next punch.
- Photos of work: on by default, with or without Clock in. Staff can add photos to their own shift while on it (and up to 12 hours after), to hours they type, or to their rostered shift, such as finished work or site conditions (see Add photos to your work). Only they and managers see them. Managers see them all in Approvals → Photos (or a site's or project's See photos in Projects & sites), by day and person, including shifts still on; Keep holds a photo past retention (e.g. an incident). Adding, removing and keeping photos is in the Audit log.
- Track breaks, and the Longest shift before it closes automatically.
- Allow remote clock in: on means a phone punch away from every site is fine (marked Remote, no review); off means it's still recorded but flagged. To refuse punches away from a site, set that site to Refuse it.
Someone who types their hours has no Clock card, isn't on the tablet's list, is never marked a no-show, and can always type their hours even when clocking in is required.
Example: Priya turns on Clock in, reads the notice, and taps Turn on Clock in. She ticks Phone and Kiosk: name + PIN, sets Ask for a project to Off (the café has no projects), and leaves Managers clock in too off, so Tom types his hours.
