How clocked time is paid

Go to: Settings → Time entry → How clocked time is paid.

Punches and breaks are always kept exactly as they happened; this decides the hours that count on each clocked entry. Entries keep both Clocked (what the punches say) and Counts as (the hours that go to pay). Example: rostered 9:00–5:00 with a 30 min unpaid break, clocked 8:57–5:00 with a 28 min break.

Under Rostered hours, late, left early and stayed back are flagged, never docked or added automatically; a manager adjusts with Set hours that count. A shift that isn't on the roster is paid as clocked under every option. Pay rounding only applies to clocked times.

Changing it: a shift keeps the rule it ended under. When you pick a different option, Vaultime asks Also apply it to N entries not yet approved?

  • Apply to N recalculates clocked entries still in draft or waiting for approval. Approved entries never change, and hours a manager set stay as set. Anyone whose hours that count change is told, and the Audit log lists every change.
  • Only new shifts leaves them as they are.

To move an approved entry to the new rule, reopen it (Approvals → History → Reopen).

Example: Priya switches from Clocked time to Rostered hours mid-fortnight. Vaultime asks to apply it to 23 waiting entries; she taps Apply to 23. Maya's Tuesday, clocked 8:02, counts as 7.50 h, and Maya is told.
