Protect photos (photo protection)
Who: Super Admins turn it on; it's off until they do. Go to: Settings → Data and privacy → Photo protection.
What it does: shift photos, clock-in selfies and kiosk photos are encrypted on the phone or tablet that takes them, before they're sent. Vaultime stores only the locked files. They can be opened by:
- the workspace's key holders (Admins and Super Admins who've been given access), on their unlocked devices;
- the person in the photo, for their own photos.
Not Vaultime, not the developers, and not Ask Vaultime (it never sees photos, and counts are all it gives).
Turn it on:
- Make sure this device can open photos: Profile → Photo keys says This device can open photos (see Your photo keys).
- Settings → Data and privacy → Photo protection → Turn on photo protection.
- Read how it works. Choose Vaultime Recovery (on is recommended; see If every key is lost).
- I understand, turn on becomes available after 3 seconds.
Then:
- Give a second person access (see Give someone access to photos), or unlock a second device, so photos can still be opened if one phone is lost.
- Save your Recovery Kit (Profile → Photo keys → Recovery Kit).
- Everyone needs an up-to-date Vaultime app to add photos. An old app gets This workspace protects photos. Update Vaultime to add photos.
- Photos from before you turned it on are locked by our servers in the background, and the originals deleted. Settings shows Protecting older photos: 120 to go, then All photos are protected. You can keep working meanwhile. (Photos due to be deleted within 7 days under your retention settings are left to be deleted.)
- Previews: tiles load a small preview (about 20 KB), locked the same way; the full photo opens when you tap it.
- It can't be turned off. Protected photos stay protected.
If every key is lost:
- With Vaultime Recovery on, Vaultime Support can restore access after checking who's asking. Every key holder is told, and it only happens after 7 days, so anyone can cancel it.
- With it off, nobody can open those photos again, including Vaultime. New photos use a new key.
Words:
| Word | Meaning |
|---|---|
| Photo key | Your personal key, kept on your devices. It opens the workspace's key |
| Key holder | An Admin or Super Admin who's been given access to the workspace's photos |
| Recovery Kit | 24 words that bring your photo key back on any device. Keep them private |
| Backup file | Your photo key in a small file locked with a password you choose |
| Photo password | A password that unlocks your photo key in a browser |
| Passkey | Windows Hello, Touch ID or a phone, used to unlock your photo key in a browser |
Example: Sam turns on photo protection for Sam's Tiling and saves his Recovery Kit in his password manager. He gives Kim, his office manager, access. Jake's site photos are now locked on Jake's phone; Sam and Kim can open them, and Jake can open his own.
